Who is responsible

Bluebells Investment Ltd is responsible for FarmOps Backup and the handling of its backup data. For privacy questions or requests, contact info@bbil.co.uk.

This notice covers the FarmOps Google Drive backup connection. It does not replace the privacy notice for our accounting services.

Purpose and current status

FarmOps Backup supports recovery of farm records if production data becomes unavailable. The Google Drive connection is currently being configured and tested.

Data included in backups

Backups contain the FarmOps database and supporting evidence files. Depending on the records entered, these may include user account information, farm activities, customer and supplier details, financial records, photographs and receipts.

Google Drive access

An authorised administrator connects a Google Drive account through Google’s authorisation process. The backup tool uses access tokens to maintain that connection; it does not receive the administrator’s Google password.

The connection is intended to create and manage backup files in a dedicated Google Drive folder, read file metadata needed to check transfers, and download backups for recovery testing or restoration. It is not intended to search or use unrelated Drive documents.

Storage and security

Production records and local backups are held on the FarmOps server hosted by DigitalOcean. Off-site copies are intended to be encrypted on the server before upload to Google Drive. Encryption must be configured and tested before operational backups are uploaded.

Connection tokens and encryption credentials must be protected and available only to authorised administrators. Recovery depends on retaining the necessary encryption credentials.

Use and sharing

Backup data is used for backup administration, integrity checks and recovery. Google Drive and DigitalOcean provide the storage and hosting involved in this process.

FarmOps Backup does not sell Google user data or use it for advertising or training general-purpose AI models. Access by administrators must be limited to authorised backup, security and recovery activities.

Retention and deletion

The current local backup process retains completed backups until an administrator removes them. Automatic expiry has not yet been configured. Off-site retention settings are being finalised before routine uploads begin.

An administrator can revoke the connection through their Google Account’s third-party access settings. Revoking access stops future authorised transfers but does not automatically delete existing backups.

For deletion requests concerning backup data, contact info@bbil.co.uk. Removing a record from the live application does not automatically remove it from older backup copies.

Changes

We will update this notice when the backup configuration or data-handling practices change. Any new use of Google data outside the permission previously granted will require appropriate notice and authorisation.
